A meeting of the above Committee will be held at “Greenways” on Wednesday 2nd September 2009 at 7.00 pm* or at the conclusion of the public participation session at 7.10 pm and your attendance is requested.

2. DECLARATIONS OF INTEREST

3. MINUTES OF THE PREVIOUS MEETING

To approve as a correct record the minutes of the meeting held on 1st July 2009.

4. FOLLY FARM

To agree draft terms for lease of land to Sheiling Trust to enable publication of notice of intention to dispose (draft terms attached as Report A)

5. GEOCACHING

To consider allowing an extension to the agreement for permission to cache at Poulner Lakes to cover other areas of open spaces in the Town Council’s ownership (OS/5107 – 2nd July 2009 refers)

6. PAVILION AT CARVERS

To consider a request for continued use of the Pavilion in association with tennis coaching during the winter

7. SPONSORSHIP

To consider sponsorship of the new Ringwood and Avon Valley League, which will provide sporting opportunities for local school children and is being organised by the new Community Outreach Officer based at Ringwood Junior School.

8. ALLOTMENTS

i) To note improvements in the standard of maintenance generally and in particular comments from Ringwood Gardening Club

ii) To receive a report on the response to relocation of the locking mechanism on the gate at Long Lane

iii) To receive a report on the termination of tenancies for failure to maintain

9. CEMETERY EXTENSION

To receive notification of receipt of planning consent and consider arrangements for letting the contract for works and for removal of the septic tank

10. INFORMAL ACCESS FROM VICTORIA GARDENS TO HIGHTOWN ROAD

To receive report on closure of informal access from Victoria Gardens to Hightown Road and approve arrangements for future alternative access

11. EXCLUSION OF PUBLIC AND PRESS

To consider exclusion of public and press for the following items:

12. RINGWOOD TOWN FOOTBALL CLUB

To consider report by Working Party of meeting with Ringwood Town Football Club to and consider allocation of funds to assist essential repairs to the Clubhouse. Builders’ estimates will be available at the meeting. It is anticipated that representatives of the Club will be present to explain the Club’s future programme (Report B attached)

13. RINGWOOD BOWLS CLUB

To approve arrangements for rent review, which is being undertaken in accordance with terms of the lease

14. RECREATION FACILITIES

To receive report on discussion with the Head of Communities and Employment at New Forest District Council
