A meeting of the above Committee will be held at “Greenways” on Wednesday 18 June at 7.00 pm* or at the conclusion of the public participation session at 7.10 pm and your attendance is requested.

Public Participation:

*The meeting will be preceded by a public participation period of up to 10 minutes at 7.00pm. If no member of the public wishes to speak to the Council, the meeting will start at 7.00pm.

1. To approve as a correct record the Minutes of the Meeting held on 21 May 2008 (attached)

2. Financial Reports (attached):

a) To receive and authorise list of payments made on Imprest Account in May
b) To receive and authorise list of Petty Cash payments for May
c) To receive Statement of Town Council Balances
d) To authorise Inter Account Transfers

3. Review of the Effectiveness of the System of Internal Control

To consider the Finance Manager’s report (attached)

4. Internal Audit 2007/8

To receive report and agree response (attached) and to consider future arrangements for the distribution of the internal auditor’s detailed findings

5. Draft Final Accounts and Annual Return for the Year Ended 31 March 2008

To consider the Finance Manager’s report (attached)

6. Ringwood Festival

To receive minutes of the meeting of the Ringwood Festival Steering Committee held on 2 June 2008 (attached) and approve proposals therein including the proposal that a donation of £280 be made to Salisbury Palliative Care from funds raised at the Danny Cracknell Memorial Golf Day at Moors Valley Golf Course on 23 May 2008.

7. Ice Rink on Bickerley

To consider use of the Bickerley for an outdoor ice rink for three weeks in December 2008

8. HCC Consultation

To consider the Town Council’s response to a Hampshire County Council consultation on Adult Services – Grants Programme (as circulated 3/6/08 to all Councillors and available on the HCC website) (Draft response to follow)

9. Student Advisors

Further to minute C/4820 resolution (2) relating to minute F/4628, to consider an alternative appropriate way of thanking the student advisors for their work

10. Committees, Working Parties & Outside Bodies

To make any recommendations appropriate to Town Council in June as to filling of remaining vacancies on Committees, Sub-committees, Working Parties and Outside Bodies following the election on 19 June 2008 to fill the remaining vacancy on the Town Council

11. Permission for Bouncy Castle at Hightown

To consider a request for a bouncy castle on the green behind Wren Close

12. Community Archive Project

To consider the Town Council’s response regarding involvement in Hampshire County Council’s community archive project for which a Heritage Lottery grant has now been awarded

13. Sponsorship of Achievement Award 2008

To consider sponsorship request of £120 for Ringwood School Achievement Awards and/or to sponsor the cost of £20 for a replica shield and engraving costs to the perpetual trophy

14. Remembrance Service Parade

To consider making a contribution of £50 to the Ringwood Pipe Band to lead the Remembrance Service Parade from the Parish Church to the War Memorial on Remembrance Sunday in November 2008

15. EXCLUSION OF PUBLIC AND PRESS

16. 92 Southampton Road

To receive an update on termination of tenancy
